Digitize

All of the files in the 1MAGE DMS are digital documents. Most companies begin the process either with pre-existing PDFs, or by digitizing their existing documents by scanning them into their systems.

Index

Next, the document needs to be Indexed, or “made searchable.” This process can be accomplished through manual data-entry, or by utilizing one of many auto-indexing tools that 1mage provides.

Inquire

Once a document has been indexed, it’s safely in the system! To retrieve this document in the future, employees will use a program like 1ACCESS or V1A to run an “Inquiry” against the 1mage database.

OCR-Enabled Document

Versions 12.1 and higher of the 1mage DMS now include an optional module called “ICM”, which stands for Image Content Management. With the release of ICM, 1mage customers now have access to Microsoft Azure’s Optical Character Recognition (OCR) services, one of the most powerful and affordable business solutions in the world!

The ICM module makes use of Azure’s OCR engine in two separate but related tools: OCR-Indexing, and Data Mining. Both of these new tools offer our customers incredible new features, and both are delivered at an industry-leading price.

OCR-Indexing

Without a doubt, the most exciting tool that ICM enables for our customers is OCR-Indexing, a feature which represents our most powerful auto-indexing solution to date. With OCR-Indexing, companies can automatically index any document put into the system by every meaningful word that occurs on any page. But the best thing about OCR-Indexing is that all of this magic happens with zero human interaction needed! That means no more waiting on data-entry, and no more typos!

For users looking to supercharge their OCR-Indexing process even further, 1mage offers the additional option of using what we call “ICM Infosheets” in their batches. These specially-formatted pages allow users to automatically set the document type and assign keypairs on the fly, plus index the document by any number of additional custom keywords or strings that the user chooses to include. Simply put, the cost-saving implications are game changing.

Data-Mining

The other main tool that ICM enables for 1MAGE DMS users is Data Mining—the process of analyzing large databases in order to generate new, useful information.

What’s great about Data Mining is that it runs on your already-existing document library stored in the 1MAGE DMS! Users can use Data Mining to extract strings and patterns from a customizable range of those documents.

Practical applications include:

  • Automatically extracting all social security numbers from over 10,000 employee records;
  • Finding and redacting all credit card numbers on expense reports;
  • Automatically processing all invoices from the past 3 years and breaking down which products sold the best and worst over that period;

V1A was made to be as easy to use as possible, but that doesn’t mean we skimped on the power. Users can run Inquiries against the database, view images, email or print them out, and even Index new files from their PC.

Windows Desktop Application to
Manage High Volume Scanning

With 1SCAN, businesses can dramatically increase their scanning and indexing throughput by partially or fully automating various parts of these labor-intensive operations.

In addition to all the standard scanning options that customers have come to expect, 1SCAN offers a continuous scanning mode for high speed and nearly unattended scanning. To further automate the indexing process, 1SCAN also comes with a powerful pre-indexing system to enable faster batch indexing, and barcode scanning to automatically extract coded information used in the indexing process. By purchasing 1API, businesses and software developers can create incredibly useful Line-of-Business (LOB) applications that fully integrate with the 1MAGE DMS.

Put simply, our APIs make your programs much smarter, more cost-effective, and powerful.

Below are 3 example scenarios for how 1API can quickly bring your LOB software to the next level.

Accounts Payable

A user could call up a vendor’s record in the corporate application, select or enter a purchase order number, and display the original invoice, the packing slip, and any correspondence received from the vendor in an image window. All without leaving their desk or opening a file cabinet.

Human Resources

A user could call up an employee record in the LOB and display the employee’s W-4, I-9, insurance and flexible benefit forms using only a social security number. If a user had permission in the LOB to access salary or performance information, they would also have permission to view images of employee contracts and year-end evaluations.

Accounts Receivable

A user could view any A/R report, one page at a time, without printing the report, by simply using the LOBs report generation function. Not only could they fax, email, or print elements of the report from their desk, but could also copy and paste text to do further analysis.
